Personal Records 

Every year there are a number of enquiries to the ECT service where a teacher is not able to prove that they have successfully passed their induction. This can have serious consequences for their current employment status. It is the responsibility of teachers to keep their own records of qualification. It is important that all teachers keep their letter or certificate that shows they have successfully passed induction. Teachers who were second year ECTs in the academic year 2023/24 should have down loaded their certificates this summer.

Schools are required to keep the records of ECTs for six years. It might be useful to keep a short electronic log of all ECTs in case someone comes back much later to request verification. The name, teacher reference number (TRN) and date of birth should suffice, with a note that says they successfully passed induction. You may need to add this to your school’s privacy notice.

All teachers should keep proof of their qualifications permanently. Teachers can check their own records on the NCTL website. We would encourage all teachers to make to check their records as it can have an impact when they are applying for promotion. To access the record teachers need their teacher reference number (TRN) which may have been called their DfE number or something similar depending on when they joined the profession.

Pensions 

It is good practice for teachers to check that the records held by the Teachers Pensions Agency are accurate. Teachers who have changed their role or changed school may need to check that their information is accurate. It will be easier to put right any errors or omissions in the record while they are only a few years old. You will need your TRN to register. https://www.teacherspensions.co.uk/
